Windows 11 printer offline: check the connection, selected device and queue
Check power and the actual USB or Wi-Fi connection, then confirm the printer selected by the app and inspect its queue. Cancelling jobs, choosing a default printer and fixing connectivity are separate actions. Use a Windows test page to distinguish device operation from the original document's result.
- USB and Wi-Fi require different connection checks.
- A test page and the original app's document are separate results.
Separate power, connection and device selection
After moving a laptop, check its connection before assuming the printer has failed. A Wi-Fi printer and PC need to be on the same network. With several routers or extenders, check whether they joined different networks. For USB, inspect the cable between PC and printer first.
| Situation | Inspect first | Next action |
|---|---|---|
| Wi-Fi connection | PC and printer networks | Read the printer display or manual for connection status |
| USB connection | Both cable ends | Check the PC-to-printer connection |
| Wrong printer selected | Device name in the app | Select the intended printer and inspect its queue |
| Paper, ink or cover error | Printer's own display | Resolve that error separately from the offline status |
Microsoft's general checks include switching the printer off, unplugging it, waiting 30 seconds and reconnecting it. Check the manufacturer's instructions for running jobs and shutdown first.
Review queued jobs before cancelling
In Windows 11, open Settings → Bluetooth & devices → Printers & scanners → your printer → Open print queue. Read job names and status first. Repeatedly sending the same document can produce duplicates when the connection returns.
- Identify waiting documents and the location of the file you intend to print again.
- Choose which jobs to cancel. Microsoft's Cancel all applies to waiting jobs.
- Check the connection and device selection, then resend only what is needed.
If you need only the last page, clearing the queue does not mean resending the whole file. Select the required page range in the original file. Cancelling the queue does not delete that source document, but it does not automatically reprint cancelled jobs either.
Choose the next troubleshooting step
Microsoft's Windows 11 offline-printer guide starts with automated diagnostics in Get Help. If needed, continue through connection, default-printer and queue checks. Selecting a default device does not itself repair an offline connection.
If manual default selection is unavailable, check the setting that lets Windows manage the default printer. It changes the default output device, so consider whether that is useful when moving among printers.
The official next steps include restarting Print Spooler and removing/reinstalling the printer. For shared or administrator-managed equipment, record the document, device and error for the administrator. Do not broaden this into disabling security or removing unrelated drivers. If a manufacturer's installer cannot add a printer on an ARM PC, follow Microsoft's Add printer guidance and that manufacturer's instructions.
Check USB and Wi-Fi results separately
Check the result after changing one item. Microsoft's connection guide includes printing a Windows test page. Separate a successful test page from the result of the intended document in its original app.
- No test page: recheck connection and device state, then use official support for the exact model.
- Test page works, document does not: check the app's printer, page range and document queue.
- Output goes to another printer: distinguish the app's target from the Windows default before resending.
Recording the shared Wi-Fi check, selected device name and queue state helps avoid repeating the same checks.
